What is a Human Resources Management System?
OneTeam360 is not inherently a HRMS, but we find the role of this tool so important that we decided to integrate HRMS softwares into our system. Find out why.
What is a Human Resources Management System?
A Human Resources Management System (HRMS) is the group of tools that HR uses to efficiently manage various tasks. The Human Resources Department takes care of a ton of responsibilities, from managing employee information to keeping track of time logs. Oftentimes, this can turn into a huge waste of time. However, a HR Management System automates the less important tasks and keeps things organized so that HR can focus on what requires more attention.
One of the best things about an HRMS, is that it can be opened to the whole workforce. As a result, employees and managers end up gaining a better perspective of their work by accessing personalized dashboards, having automated workflows, and receiving personalized notifications.
There are four key parts of what a HRMS can handle, including recruitment, employee engagement, employee management, and payroll. These things are often the most tedious and time consuming tasks that HR traditionally had to deal with1. However, with a Human Resources Management System, HR can be as efficient as possible.
1. Recruitment Management
Recruitment responsibilities for HR ranges from candidate application to application review, interviews, job offers, and employee onboarding.
There are many aspects of recruiting that can be a lot to handle. Ask yourself: How do you plan to promote job listings? What things are you looking for in an applicant? How are you conducting interviews? How are you reaching out to selected candidates? The management of new candidates plays a huge role in the company image.
An HR Management System will let users create career pages on the company website, post job listings, manage resumes, track applicants over time, make job offers, perform background screenings, and create applicant forms. After all of these processes are handled through the system, only then does the applicant file will transfer to hiring mangers for onboarding.
2. Employee Engagement
From the very start of employee onboarding, it is important that employees get in sync with the company’s vision ASAP. Employees who understand company values will contribute higher-quality work. Engagement starts off with training, integration into company culture, check-ins, and continuous skill development.
A Human Resources Management system will allow HR to quickly analyze employees performance, manage goals, track certification compliance, initiate course training, and administer skill quizzes.
3. Employee Management & Policies
Transparency is a key value for companies who want a good relationship with their employees. So, clearly outline company policies regarding how managers and employees from different locations and departments interact. On top of that, it is important to keep track of employee information and make sure their certifications are always up to date.
A HR management system will tackle this by alerting users of what compliance records are needed, constantly keeping track of their status. An additional option will allow employees to update their information and compliance records themselves.
4. Payroll
Payroll is arguably one of the most tedious tasks, but definitely an important one.
A HR Management System will be able to track time and attendance for employees. Additionally, a HR system that is self servicing will allow employees to track their own hours, directly make changes to elective deductions, direct deposit accounts, and to obtain statements.
Bottom line: a Human Resources Management System manages the tedious tasks so HR can focus on what requires personal attention
In summary, a Human Resources Management System keeps track of the more clerical tasks around managing an employee. In order to have organized employee management, a thought out and efficient system is necessary so that no time is wasted and the company image is well established.
